Privacy Policy

• Our customers: the companies that use FormaOS and their team members.
• Their clients: homeowners and others who use a project portal, fill in a quote form or receive a proposal.
• Visitors to our website.

If you're a client of a company that uses FormaOS, that company decides what information about you goes into FormaOS and how it's used. We handle it on their behalf. For questions or requests about your information, contact them first. We'll help them respond.

• Account details: name, email, phone, password (stored securely, never readable by us), company name, address, logo and settings.
• Content you add: leads, notes, proposals, projects, photos, files, messages, selections and signatures, including details about your clients such as names, emails, phone numbers and property addresses.
• Client activity: when a client views a proposal, signs in to a portal, makes a choice or signs a document, we record what happened and when, along with basic technical details like IP address and browser, so there's a reliable record.
• Usage and device information: pages visited, actions taken, browser and device type, IP address and error logs. We use this to keep the service working and secure.
• Billing details: when paid plans are active, payments are handled by our payment processor. We see the plan, billing history and the last four digits of a card, never the full number.
• Messages to us: anything you send when you contact us.

• To run FormaOS: show your projects, deliver portal updates, send sign-in links and notifications, and keep records of signatures.
• To keep accounts and data secure, prevent abuse and fix problems.
• To support you when you ask for help.
• To bill you for paid plans.
• To send you service emails, such as trial reminders, receipts and important changes. We won't send marketing email without your permission, and you can unsubscribe anytime.
• To understand how FormaOS is used in general so we can improve it.
• To meet legal obligations.

When you use an AI feature, such as drafting a proposal or asking the assistant a question, the relevant information from your account is sent to our AI provider to produce the answer. Our provider processes it only to give us the result and does not use it to train its models. You can choose not to use these features.

• Service providers who help us run FormaOS, such as hosting, database, email and AI. They can use the information only to provide their service to us. The current list is on our Subprocessors page.
• The people you work with. Information you share in a portal or proposal is visible to the client or team members you share it with.
• For legal reasons, when we're required to by law, or to protect the rights and safety of people or FormaOS.
• In a business transfer, such as a merger or sale, where this policy would continue to apply.

We don't sell personal information or share it for targeted advertising.

We only use cookies needed to keep you signed in and remember simple settings. We don't use advertising or tracking cookies. Details are in our Cookie Policy.

We keep account information and content for as long as the account is active. After an account is closed, we keep data for 30 days so it can be exported, then delete it. Backups are deleted on their normal schedule. We may keep some records longer if the law requires it, such as billing records.

Data is encrypted in transit and at rest. Each company's data is kept separate from every other company's, and access within a company follows the roles it sets. No system is perfectly secure, but we work to protect your information and will tell you promptly if a breach affects your data.

Depending on where you live, you may have the right to:

• Know what personal information we have about you and get a copy.
• Correct information that's wrong.
• Ask us to delete your information.
• Opt out of the sale or sharing of personal information. We don't do either.
• Not be treated differently for using these rights.

Customers can view, edit and export most of their information directly in FormaOS. For anything else, email help@getformaos.com. We may need to confirm your identity before acting on a request. You can use an authorized agent to make a request for you.

California residents: these rights include those under the California Consumer Privacy Act. In the last 12 months we have collected the categories of information listed above, for the purposes listed above, and we have not sold or shared personal information or used sensitive personal information for anything beyond running the service.

FormaOS is for businesses and their adult clients. It isn't meant for anyone under 18, and we don't knowingly collect their information.

Our servers are in the United States. If you use FormaOS from another country, your information is transferred to and stored in the U.S.

If we make significant changes to this policy, we'll let customers know by email or in the app before they take effect. The date at the top always shows the latest version.
